Operations Office Administrator

The successful candidate will report to the Managing Director, and will be based at their Middlesbrough Office, and will be responsible for:

  • Monitoring vehicle defect reports and actioning issues.
  • Answering phone calls and liaising with staff, customers, and external stakeholders.
  • Processing and managing staff timesheets.
  • Data entry, scanning, and archiving of documents.
  • Co-ordinating works with civils supervisors, ensuring job packs, safedigs, RAMS, and other operational documents are readily available to civils teams.
  • Reconciling all daily work activities, uploading photo evidence to specific jobs, updating daily trackers, and capturing any variations to works.
  • Overseeing permits, submitting modifications, receiving and recording timely starts, stops, and registering activities to avoid financial penalties.
  • Ordering of staff PPE, office supplies, and operations requirements.

Heads up…

  • Good communication and IT skills with a professional attitude are a must.
  • Knowledge of the utility industry and permitting is an advantage.
  • Confidence in writing, reporting, and presenting data is needed.
